Refund Policy

This Refund Policy explains how payments, deposits, cancellations, refunds, and service-related billing adjustments are handled by Mentorythm Labs. Because our services are advisory, analytical, and customized to each client engagement, refund eligibility depends on the stage of work performed, the terms of the applicable Statement of Work, and the nature of the service purchased.

01 Scope of This Policy

This Refund Policy applies to advisory services, consulting engagements, decision audits, framework design projects, data-informed strategy sessions, training programs, and other professional services provided by Mentorythm Labs.

Each engagement may also be governed by a separate Engagement Letter or Statement of Work ("SOW"). If a specific SOW contains refund, cancellation, payment, or termination terms that differ from this Refund Policy, the SOW will control with respect to that engagement.

This Policy does not create any refund right beyond what is expressly stated here or in an applicable written agreement signed by both parties.

02 Advisory and Custom Nature of Services

Mentorythm Labs provides decision intelligence consulting services on a customized, advisory basis. Our work may include research, analysis, diagnostic review, strategic structuring, preparation of written deliverables, facilitated sessions, and team training.

Because our services involve the allocation of professional time, intellectual labor, preparation, and custom analysis, payments are not treated in the same way as payments for standard physical products. Once work has begun, fees may become partially or fully non-refundable depending on the amount of work performed and resources committed.

We do not guarantee any particular business outcome, financial result, operational improvement, or decision result. Dissatisfaction with a downstream business outcome, standing alone, does not create a right to a refund.

03 Deposits and Upfront Payments

Unless otherwise stated in the applicable SOW, a deposit may be required before work begins. Deposits secure project scheduling, reserve consultant availability, and cover initial planning, preparation, and administrative work.

  • Deposits are non-refundable once the engagement has been accepted and work has begun.
  • Work may include onboarding, discovery review, scheduling, internal preparation, document review, project planning, research, analysis, or creation of preliminary materials.
  • If the client cancels before any work has begun, Mentorythm Labs may, at its sole discretion, issue a full or partial refund of the deposit, less any payment processing fees or administrative costs already incurred.
  • If a project is postponed rather than cancelled, Mentorythm Labs may allow the deposit to be applied to a rescheduled engagement, subject to availability and written approval.

04 Cancellation by Client

If you wish to cancel an engagement, you must notify us in writing as soon as possible. Refund eligibility will be determined based on the project stage at the time we receive written cancellation notice.

  • If cancellation occurs before work begins, a refund may be considered, subject to any non-refundable deposit, administrative costs, and payment processing fees.
  • If cancellation occurs after work has begun but before final delivery, you remain responsible for payment for all work performed, preparation completed, meetings held, and deliverables created up to the cancellation date.
  • If cancellation occurs after final delivery, no refund will be provided.
  • If cancellation occurs after a scheduled strategy session, workshop, or training session has already been delivered, the fee for that session is non-refundable.

Cancellation does not relieve you of responsibility for unpaid invoices covering services already performed or expenses already approved in writing.

05 Rescheduling of Sessions

For advisory sessions, strategy calls, training programs, or workshops, clients may request rescheduling by providing written notice at least forty-eight (48) hours before the scheduled start time.

  • Rescheduling requests made at least forty-eight (48) hours in advance are generally accommodated subject to availability.
  • Requests made less than forty-eight (48) hours before the scheduled session may be treated as a late cancellation.
  • Missed sessions, no-shows, or failure to attend without prior written notice are non-refundable.
  • Repeated rescheduling may result in additional administrative fees or project timeline adjustments.

06 Refunds for Completed Deliverables

Fees paid for completed deliverables are non-refundable once the deliverable has been provided to the client. A deliverable may include, but is not limited to, a written report, diagnostic analysis, decision framework, strategic recommendation document, training material, presentation, or other advisory work product.

If a client believes a delivered item materially fails to conform to the written scope described in the applicable SOW, the client must notify Mentorythm Labs in writing within seven (7) calendar days of delivery and clearly identify the alleged issue.

Where we determine that a deliverable materially deviates from the agreed scope, our sole obligation will be, at our discretion, to revise the deliverable, provide a reasonable correction, or issue a partial credit. Refunds are not provided for subjective dissatisfaction where the work was delivered according to the agreed scope.

07 Refunds for Digital or Educational Materials

If Mentorythm Labs provides digital materials, templates, educational materials, written guides, recordings, or downloadable resources as part of an engagement, such materials are non-refundable once delivered, accessed, downloaded, or made available to the client.

This rule applies because digital and intellectual materials cannot be returned in the same manner as physical goods.

08 Cancellation or Termination by Mentorythm Labs

Mentorythm Labs reserves the right to cancel, pause, or terminate an engagement where continued work is impossible, inappropriate, unethical, unlawful, or commercially unreasonable, including in cases of non-payment, lack of client cooperation, abusive conduct, or requests outside the agreed scope.

If we terminate an engagement without client fault before completing the agreed work, we may issue a prorated refund for fees paid for work not yet performed, less amounts attributable to work already completed, preparation performed, administrative costs, and non-refundable deposits.

If termination occurs because of client breach, non-payment, failure to cooperate, or violation of our Terms of Service, no refund will be owed for amounts already paid, and the client remains responsible for all unpaid amounts for work performed.

09 Payment Processing Fees and Chargebacks

Refunds, where approved, may be reduced by payment processing fees, bank fees, currency conversion fees, administrative costs, or other third-party charges that are not returned to us by the payment processor.

Clients agree to contact Mentorythm Labs directly before initiating any chargeback or payment dispute. Improper chargebacks for services already performed or deliverables already provided may be contested, and we reserve the right to recover associated costs, fees, and damages where permitted by law.

10 How to Request a Refund

To request a refund or billing adjustment, you must contact us in writing using the contact information below. Your request should include:

  • Your full name and organization name.
  • The engagement, invoice, or project reference.
  • The amount paid and date of payment.
  • A clear explanation of the reason for the refund request.
  • Any relevant supporting documents or communications.

We will review refund requests in good faith and generally respond within ten (10) business days after receiving sufficient information to evaluate the request. Approval of any refund is not guaranteed and will depend on the applicable SOW, project stage, work performed, and this Policy.

11 Method and Timing of Refunds

Approved refunds will generally be issued to the original payment method where commercially feasible. Processing times may vary depending on the payment provider, bank, card issuer, or financial institution.

Mentorythm Labs is not responsible for delays caused by banks, card issuers, payment processors, or third-party financial platforms.

12 Changes to This Refund Policy

We may update this Refund Policy from time to time to reflect changes in our business practices, service structure, payment procedures, or legal obligations. The updated version will be posted on this page with a revised effective date or last updated date.

The Refund Policy in effect at the time of the applicable purchase, payment, or engagement will generally govern that transaction unless otherwise agreed in writing.
